What the planning fee and the on-the-day team cover
Planning fee
- A named producer from booking to the day
- Event designer: floor plan, stage and room layout for venue approval
- Procurement, indenting and purchasing of every item on this quotation
- Vendor and subcontractor briefing, contracts and payments
- Venue liaison: banquet order, AV, loading dock, timings
- Run sheet, cue-to-cue and one rehearsal
- Client WhatsApp group and weekly status until the event
- Two site recces with you
What the on-the-day team does
- Lead producer: single point of contact, calls the show, signs off with the venue
- Floor coordinators: guest flow, VIP arrivals, dietary tables, vendor call times
- Event crew: set-up, changes during the programme, teardown and hand-back
- Show caller (when included): every cue on stage, screen, sound and lighting
